This is the same framework we use with our Sudbury clients, organized into calm, clear seasons — so you always know what to do next and when to stop worrying about it. Whether you're planning a wedding, a milestone birthday, a corporate gala, a baby shower, or something entirely your own, the structure below will carry you through.

The timeline assumes a twelve-month runway. If you have six months, begin at the six-month mark and compress what's above. If you have eighteen, you'll have breathing room to savour every decision. Take what serves you, skip what doesn't, and move at your own pace.

Stage One

12+ Months Out

Dream, anchor, and set the foundation.

This is the vision season. Nothing needs to be perfect yet — you're just deciding what this event feels like, who's in the room, and what you can afford. Before anything else, answer three questions: what type of event is this, what tone do you want (intimate, grand, romantic, modern, rustic, black-tie), and what's your preliminary guest count as a range?

Choose three words to describe the feeling of the day — something like warm, glowing, effortless — and let those words quietly steer every decision that follows. Set a realistic budget ceiling and agree on it with anyone contributing financially. Then choose a primary date and two backups before contacting venues; flexibility opens more doors.

  • Research venues and walk through your top three. Sign a contract with your chosen venue and pay the deposit.
  • Hire a wedding planner or day-of coordinator if you want one — the best ones book a year or more in advance.

Stage Two

9 Months Out

Build the team and begin the details.

The big anchors are in place. Now it's about surrounding yourself with the right people and locking in what makes your event unmistakably yours. This is the month to book your supporting vendors and start shaping the guest experience.

Book and begin
  • Book your caterer and schedule a tasting.
  • Book your florist, or confirm floral rentals with your styling team.
  • Book your DJ, band, or ceremony musicians.
  • Book hair and makeup artists, and ask about trials.
  • Hire your stationer for save-the-dates and invitations.
  • Send save-the-dates — especially if you have out-of-town guests.
  • Reserve a hotel room block for travelling guests.
  • Begin dress, suit, or outfit shopping — alterations alone can take 8–12 weeks.
  • Set up a wedding or event website with logistics and RSVP.

6 Months Out

  • Finalize your colour palette and mood (a sample linen, charger, and napkin flatlay helps).

Stationery
  • Order invitations and plan to mail them 8–10 weeks before.

  • Begin drafting ceremony programs, menus, place cards, and thank-you cards.
Stage Four

3 Months Out

Confirm, finalize, and tie up loose ends.

The momentum is real. Now is when we lock every moving piece so the last two weeks can be calm, not chaotic. The goal at this stage: be able to look at your planning folder and know that everything is either done, booked, or handed off.

  • Mail invitations with all logistics, RSVP link, and dietary-request field.
  • Finalize the ceremony script with your officiant and any readings/rituals.
  • Write, edit, and practice vows or speeches.
  • Schedule hair and makeup trials.
  • Confirm rehearsal date and location.
  • Apply for your marriage licence (in Ontario, it's valid for 90 days from issue).
  • Confirm transportation for wedding party, guests, and any shuttle logistics.
Design finalization
  • Walk through your final design plan and install logistics with your styling team.
  • Finalize ceremony and reception diagrams with your venue.
  • Confirm setup and teardown times with every vendor.
  • Finalize the seating chart as RSVPs come in.
Stage Five

1 Month Out

Confirmations, rehearsals, and final numbers.

You're in the final stretch. Every major decision is behind you now; this month is about confirming, communicating, and preparing. Resist the urge to add new ideas — this is a finishing month, not a starting one.

Lock it down
  • Give venue and caterer the final guest count.
  • Email every vendor a confirmation of arrival time, address, and point of contact.
  • Send a detailed day-of timeline to your wedding party, family, and vendors.
  • Confirm final payment schedules and prepare any balance cheques or e-transfers.
  • Pick up or try on wedding attire one last time.
  • Break in your wedding shoes around the house — don't skip this one.

Stage Six

2 Weeks Out

The calm before — details only.

This is the deep-breath moment. The heavy lifting is complete. What remains are small, satisfying details — the kind that make the day feel personal rather than just organized.

Last-mile details
  • Chase down any missing RSVPs.
  • Finalize the seating chart and send to your stationer or signmaker.
  • Prepare tips and thank-you cards for vendors.
  • Assemble welcome bags for out-of-town guests: snacks, water, itinerary, Sudbury map.

  • Attend the rehearsal and rehearsal dinner.
  • Delegate day-of tasks in writing — one list per helper.
  • Sleep. Eat a full meal. Hydrate.
The day of
  • Eat breakfast. Seriously.
  • Hand the emergency kit, rings, vows, payment envelopes, and marriage licence to your coordinator or a trusted helper.
  • Get dressed with your people — take a breath before the ceremony begins.

The sweet spot is 12–18 months for a traditional wedding with 100+ guests. Micro-weddings of 30 or fewer guests can come together beautifully in 3–6 months. Anything under 8 weeks is possible with a pop-up approach and the right vendor team.

What should I book first?
